The suite

One suite. Six apps. Zero glue code.

Every app shares the same customer, product, entity and ledger. No sync jobs, no CSV exports between systems.

The AI operating layer

Ask the system. Grounded in the work.

Countmill does more than store transactions. Ask a question, get the explanation from your own scoped records, and move a reviewed draft forward without leaving the system.

How Ask AI works

The system sees the context before it suggests the move.

Ask about your business in plain language. Countmill scopes the answer to the records you can see, explains what changed, and prepares the next step for review.

Human review stays in control.

Multi-currency with native FX

Every currency column carries its own exchange rate, revalued against the rate on the day.

Locks, trails and a real close

A closed period stays closed, and every posting is attributable — who, when, and against which period.

Every failure is findable

A quotable reference is stamped on every error, so support can find and fix an issue instead of guessing at a blank page.

Books

Real double-entry. Not a ledger-shaped spreadsheet.

A closed period stays closed, currencies revalue against real rates, and every posting is attributable.

Reconciliation locks & period close

A closed period stays closed. Bank reconciliation locks the range, and "close the books" prevents backdated edits.

Multi-currency with FX revaluation

Every currency column carries its own exchange rate. Revaluation runs against the rate on the day, not a lookup at posting time.

Deferred revenue & GRNI

Revenue recognized on schedule, and goods received but not invoiced tracked as its own liability until the bill lands.

Audit trail on every posting

Every journal entry, edit and reversal is attributable — who posted it, when, and against which period.

One flow

The same record moves from CRM through Commerce to Books — no export, no second system to reconcile against.

Ask AI

Ask anything. Answered from your books.

Grounded in the business you are scoped to — never a general model guessing at your numbers.

Answers ledger, invoice, deal and ticket questions from one full-page assistant.

Breaks a group answer down by business, the same way the ledger is scoped.

Why not spreadsheets

Countmill vs the spreadsheet stack.

The spreadsheet stack
  • Four subscriptions and a shared drive of exports
  • A customer record in three systems that disagree
  • Consolidation by copy-paste at month end
  • Permissions per tool, nobody knows who sees what
  • AI that guesses from a CSV
Countmill
  • Six apps on one ledger
  • One customer, one product, one entity everywhere
  • Consolidated view of every business, live
  • RBAC per app, per business, one place
  • Ask AI grounded in your own scoped data
In practice

How teams use it.

Month-end close across every business

Reconcile the bank, lock the period and run P&L, balance sheet and cash flow per entity — then roll them up for the group.

BooksAnalyticsCommerce

Wholesale orders, from quote to cash

A quote becomes a sales order, a shipment updates inventory, and the invoice posts to the ledger without a second system.

CommerceBooksCRM

Support tickets tied to the customer record

The shared inbox opens against the same contact, company and deal history the sales team already sees.

SupportCRMAnalytics

Multi-entity by design

Parent org, any number of businesses, one login and a consolidated view.

RBAC per app and entity

A role sees one business, several, or all — HR data behind a further gate.

Audit trail on every posting

Who, when, against which period — on every journal entry, edit and reversal.

Brand-scoped API

An integration only ever sees the entity it was granted.

Questions

Common questions.

Can we migrate from QuickBooks or Xero?

Yes. Chart of accounts, open invoices, bills and vendor/customer records import per business, so historical balances carry forward into Countmill’s ledger.

Does every business get its own chart of accounts?

Yes. Each business configures its own chart of accounts, tax agencies and classes, while the group still consolidates across all of them.

How do permissions work across entities?

RBAC is scoped per app and per business. A role can see one entity, several, or all of them, and HR data sits behind an additional sensitive-data gate.

Can we export our data?

Yes. Records, statements and reports export per business or consolidated, and the API is brand-scoped so an integration only ever sees the entity it was granted.

How is Countmill priced?

A flat fee per business entity with unlimited seats — no per-user pricing to negotiate as a team grows.
